Our client in the NGO sector is seeking an Executive and Operations Assistant to join their team based in The Hague. With a distributed workforce of 25 employees across several countries, this role plays a vital part in supporting both the Executive Board and broader operational functions.

Responsibilities:

Executive & Director Support

  • Serve as a primary contact for Directors, managing internal and external scheduling and communications.

  • Support Directors in preparing for meetings by creating agendas, tracking action items, and drafting correspondence.

  • Handle invoicing, reimbursements, and travel arrangements for Directors.

  • Assist in donor relations through email drafting and meeting coordination alongside the Director of Funder Relations.

Board Liaison

  • Schedule and coordinate Board and Committee meetings, including one annual in-person event.

  • Manage Board communications and logistics.

  • Maintain and distribute secure Board documents and meeting minutes.

Operations & Office Management

  • Provide administrative and operational support across the organization.

  • Manage internal communications and prioritization of key operational tasks.

  • Liaise with building management and manage vendor relationships at the Humanity Hub office in The Hague.

  • Track incoming/outgoing mail, manage office and IT supplies, and coordinate business card orders.

  • Organize key staff meetings, team celebrations, and employee gifts.

Requirements:

  • 3-5 years' experience as an Executive Assistant or in Office Management, preferably in a similar non-profit or international context.

  • Strong organizational and time-management skills with a proactive, problem-solving approach.

  • High comfort level with remote work tools and IT systems.

  • Excellent written and verbal communication in English.

  • Able to manage multiple priorities with accuracy and discretion.

  • Legally authorized to live and work in the Netherlands.
