All you need to know about GDPR


If you have watched or read any news recently you will almost certainly heard about the GDPR – but do you really understand how it affects you? In the following article, we shed some light on how the new EU regulation affects all EU citizens and we outline the steps that we have taken at Adams Multilingual Recruitment to ensure that your information is protected at all times throughout the recruitment process and after you find a new role. 

What is GDPR?

The abbreviation GDPR stands for General Data Protection Regulation. The purpose of GDPR is to ensure that any organisation which stores and uses your personal information is allowed to do so and, that they look after your information carefully while they have it. Personal information can be information such as your name, your address or your email address. GDPR gives you more power and control over your personal data and prevents others from abusing it. The law relies on the rights of privacy and the fundamental right of freedom.

GDPR came into force on May 25th 2018. It applies to all citizens and institutions in European Union, but also to anyone carrying out business within EU. Because it is a regulation, not a directive, it is obligatory.

Although it applies to personal information kept in any format, the biggest impact of the regulation relates to the online environment. Internet users are sometimes not completely aware of their digital footprint. This includes not only pictures and statuses on social media but also private information provided in order to access various online platforms. In these cases, despite personal information not being available to general public, it is kept in a specific database.

Which rights are considered under GDPR?

GDPR incorporates several rights that should ensure that every internet user fully understands the purpose of using his data and how can they control it better.

At Adams, we have been preparing for GDPR for many months and we have taken measures to ensure that your rights are listed in our privacy policy.

The right to be informed is simply your right to know how your personal information is being collected and for what purpose. You should be informed about all the details of any processing of your information before giving consent to allow it. These details can usually be found in a Privacy Policy, Cookie Policy and general Terms & Conditions. No matter how boring and tedious these policies can appear it is important that you read them in order to understand how your private data is being processed and who has access to your information. Policies have to be easily accessible, free of charge and written in a plain language so that anyone can understand them. They must also include the contact information of the person or organisation responsible for handling your personal data.

Every visitor of Adams Multilingual Recruitment website can access our privacy policy on the footer. Moreover, each person that registered on our website can see the Privacy Policy, Cookie Policy and Website Terms & Conditions documents on their personal dashboard and will be notified about any updated versions.

The right of access. This allows individual users to have access to all the information they have previously provided. Although this may sound strange – after all, you are the one who provided all the data, it is important that you can always check what information has been retained. Accessing your data must be free of charge and without delays. Depending on the amount and type of data, you may not be able to access it immediately, but the party to whom you provided it must start the process without any delays. In our case, we have an email address that you can contact if you wish to access your personal information.

The right to data portability. You have the right to access your personal information on various online platforms, but you also have the right to request it back from an organisation if you wish to copy it or move it somewhere else. The data must be provided in a structured way, free of charge and in a format that is commonly used, such as CSV file.

To comply with this right, we have optimised our website so that every registered user can easily download their CV and all the data on their profile. If you wish to ask for any additional data that we might have about you, you can send a request by email.

The right to rectification. This is your right to edit and update your personal information. If you register on our website, we offer you a simple dashboard where all your information is easily visible and editable.

The right to erasure or the right to be forgotten. This right makes sure that you can ask for your personal information to be deleted from a database. In the event that the main purpose for holding your data no longer exists, your data will be deleted – in some cases this will happen automatically. This ensures, for example, that you do not receive irrelevant newsletters from a website to which you subscribed years ago. You can also ask for your account to be deleted at any time and the holder of your data must ensure that all information related to it are erased.

As a registered user on Adams website, you can easily exercise this right by clicking a single button on your dashboard. Moreover, after a longer period of no contact we will notify you that if you no longer consent to the storing of your data, your information will automatically be deleted from our database.

The only drawback arising from this situation is that once you are deleted from the database, no record of your history with us exists. Thus, it could be the case that one of our consultants will approach you again (possibly more than once) if they find your information from other sources such as LinkedIn or Monsterboard without knowing that you do not wish to be contacted. However – there is a solution to this problem, provided by another GDPR right:

The right to restrict processing. Under this right, a holder of your private information can still keep your data in the system but is not allowed to use the information. The information kept in the database is, as a rule, not detailed and serves to respect other user’s rights, such as that of not being contacted again.

In order to use this right, you can send an email request to [email protected] and any further processing of your data will be prohibited.

The right to object. Most websites use some kind of tool to obtain information about users such as demographics and interests so that the organisation can monitor their website performance and target advertisements better to their audience’s needs. If you wish to be excluded from this, you should take a look at the Cookie Policy on a specific website. Cookie policies should contain clear instructions on how to be excluded from tracking. However, if this is not the case, you can still ask to be excluded by contacting the holder of your private information.

In our Cookie Policy, you can find which information we track and instructions on how to be excluded from it. It is important to note that all of the gathered information is anonymous, you cannot be identified by it and it bears no relation to your personal data.

You also have the right to object at any time to receive any marketing emails or notifications. Therefore, an “unsubscribe” link should be present at the bottom of any email. If you register with us – you consent to receive job alerts to your inbox, but you always can change their frequency or unsubscribe in your personal dashboard area. 

How do recruitment agencies comply with GDPR?

While companies are adapting their policies and practices to better cope with GDPR you, as a user, should be aware of the law as well. It is a powerful tool to better control who stores your private information and for which purposes it is used.

Recruitment agencies are no exception to this law. Agencies are obligated to ensure that you, as a job seeker, are able to exercise your GDPR rights. Additionally, recruitment agencies have to make sure that all your personal information is kept confidential and that consent is given for each and every step of the hiring process.
